Outreach templates
Create reusable messages and AI writing instructions for your team or just for you.
Open Outreach → Templates in the sidebar. The library lists the built-in templates, your team’s templates, and your personal ones.
Choose a format
- AI-written: you write instructions (voice, structure, what to lead with, what to avoid). AI writes a fresh message for each person from the company’s verified evidence. Put tone and length in the instructions, for example “keep it under 90 words, consultative, one question at the end.”
- Fixed text: you write the exact subject and body. Fields such as the company name and the recipient’s first name fill in automatically. Add the optional AI opener field to include one evidence-based line.
Create a template
- Click New template. AI-written is selected by default.
- Give it a name and, optionally, describe when to use it. Teammates see this description in the crafter.
- Choose the channel: Email or LinkedIn. The crafter uses the template’s channel, so nobody picks one for each draft. LinkedIn messages stay under 600 characters.
- Choose who can use it: everyone on your team, or just you. A personal template can be shared with the team later.
- Write the instructions or message. Use Insert field to add fields where you want them.
- Optionally add custom values, then choose the products it’s offered for.
Fields and custom values
Fields are placeholders in double braces, such as {{company.name}} or {{lead.first_name}}. Add a fallback after a bar for when a value is missing: {{lead.first_name|there}}. Switch the message to Preview to check the wording.
Custom values are reusable text you name yourself, such as {{custom.cta}} for a call to action or a calendar link. They’re saved with the template, and people can adjust them for a single batch of drafts in the crafter without changing the template.
Company names
{{company.name}} uses the company’s common name (“Chubb”), not its full legal name.
Manage the library
- Status is your own switch. It controls whether a template appears in your crafter. New team templates start switched off for everyone except their creator; each person turns on the ones they want.
- Products shows where a template is offered. A ★ marks the product’s default, which the crafter selects first. Only team templates can be a default.
- Info shows the version and when it was created and edited. Hover the draft count to see how often it’s used. Owners and admins also see who created it and a breakdown by person.
- The ⋯ menu has Try on a company (a preview against a real prospect that isn’t saved), Products and defaults, Clone, and Archive.
Edit a template
Click Edit. Saving creates a new version; drafts already written don’t change. The format can’t change after creation. To start from an existing template, clone it. The built-in templates can’t be edited, but you can clone them.
Who can do what
Owners, admins, and editors can create and manage team templates. Anyone who can craft outreach can create personal templates.
